The marketing dept in my organisation want to send out a mailshot to around
500 recipients [yes they have all opted-in!]. They want to send an embedded
image (a leaflet), possibly with some accompanying text.

We're looking at options; we don't want it to go through the normal email
system, so we're looking at creating a separate system to handle this. We've
got a number of options in-house (e.g developing a simple application to do
it), but I was wondering if there was a good/simple/cheap application
available or perhaps a 3rd-party service provider who can handle it for us.

Any suggestions?

Check out SmartBlast.com or VerticalResponse.com.  They do it all for
you and it is cheap!

Do not handle email campaigns without a third party.

1) They handle the opt outs
2) They provide reporting
3) It's sent from their server not yours.

I use ConstantContact.

They have good support.
Hold times are minamal.

Mistake.  If they have truly asked to be emailed, you *must* send it
through regular channels.  To do otherwise not only makes it look like
intentional spam, but also raises privacy policy issues.

I think you're misunderstanding. AIUI, the OP doesn't want to send the
message just as a huge bcc list via Outlook/Exchange or whatever his
orgtanisation usually uses for individual email, but instead wants to
use a proper mailing list administration system for it. That's
precisely the correct way of doing it, as the system has to be able to
handle bounces and unsubscriptions without the need for human
intervention. Sucha  system can either be created in-house or
outsourced, but either way it's important that it is a system designed
for processing mailshots rather than just trying to shoehorn it into a
typical corporate email setup.
