Can I sync emails from Outlook without an exchange server? owner 10-24-2007

My setup is as follows:

Casio Cassiopeia EM500 with Windows CE 3.0.9348
Microsoft Office 2000 with Outlook
Microsoft ActiveSync 4.5

Here's my dumb question: I (obviously) don't have an exchange server
at home for my personal email - I use my three POP3 accounts on it.
Can I still sync my emails to my PDA without the exchange server?
When I set up a partnership with the PDA for the first time, I didn't
see an option to synchronize emails, but from the welcome screen of my
PDA it has an email to view Outlook emails. Going through ActiveSync
I don't see any option anywhere in the Settings to do this, either.

What am I missing, and how can I get this thing to sync my emails?

Uh, yes and no. First you have a sort of odd group of items there. The EM500
and Office 2000 are kind of old, and AS 4.5 is as up to date as you can get
for XP. I would see if I could scare up a copy of AS3.8. I actually think
it would work better for your combo.

Assuming AS4.5 supports the older versions you have, and I can't confirm
that offhand, There should be an Inbox sync option in AS along with
calendar, contacts, etc.

What this does is sync the Inbox in Outlook with the device. If you are
using Outlook to manage PoP3 accounts, you might never have set up an
"Inbox". Might not be an issue once I tell you what this does. The PPC
Inbox syncs with the Outlook Inbox. You can read all your mail on the go,
but if you reply, or compose a new e-mail, it does not send, until you are
connected back to the PC, it syncs to the desktop Outlook and it sends the
mail.

Normally you can send and receive directly via a POP3 account, but I don't
recall EM500s having any wireless connection options, so I would guess you
need to be attached to a PC anyway. Normally though PoP3 accounts do not
sync to Outlook, they are essentially separate inboxes, set by default to
leave a copy on the server, so you can download that mail again on the
desktop.

I think you can set up an Inbox in Outlook and direct your POP3 mail into
it. Then you can take advantage of the AS syncing, and you will need to be
connected via AS to send new or replies. For you that may work OK.

Ok, second dumb question: When I installed Outlook 2000 way back in
the day, it created a normal Inbox that all my emails dump into
automatically as they're received (it's listed in the main directory
folder tree under "Personal Folders"). Is this what you're talking
about, or do I have to do something else?

I work on Office 2003 at work, and am used to configuring email boxes
& such with an Exchange server, but am a little in the dark with
2000. Everything I've installed is at its baseline without any
changes to options.

Sven and company, I have a few questions and comments- first, just a note
to the poster, I used outlook 2000 on a work desktop and had 2003 on my
laptop. I couldn't get AS to sync for weeks, it would take hours and would
never finish, it was "hanging" I think. It turns out that (no one told me
this, it is soooo frustrating) that the pst in 2000 and 2003 are different
kinds of psts, so AS will not sync between the two differnt versions. In
other words, you have to make the pst files consistent in their version.

Question--- Is there a way to set up a pop3 box on my ppc and make it put
emails in the "outlook" inbox instead of having 2 discrete email inboxes?
And second, can I sync email on 2 computers with activesync? every time I
try to, it tells me it has to delete all emails from the other profile and
then I am supposed to "clear" the email syncing from the other profile.
This seems weird ssince it will sync tasks and contacts on 2 pcs. Is their
a workaround for this, it would be really nice to be able to file emails on
both pcs and have them sync.

Thanks for the answers in advance

No. The ability to sync your Outlook Inbox, IMO, is a throwback to the
days when PPCs weren't often connected wirelessly. You synched your e-
mail in the morning, read it when out and about, composed replies, then
synched when you got back to the desk to send the replies and retreive
fresh mail.

These days of more ubiquitous connectivity, using IMAP e-mail is more
effective, since any changes made (deletions, replies, read or unread
status, etc.) will "sync" between all PPCs or PCs using the same account
(s), without involving Activesync.

Nope.

Contacts and calendar info sync easier, because of the simpler file
structure (no folders, and a single "account.") E-mail can be broken
down into folders, with various accounts and filtering rules involved. I
suspect MS could've made e-mail sync between two PCs if they restricted
it as much as calendar or contacts synching (main Inbox folder only, no
subfolders) but then it wouldn't be as useful. (Back when I used to sync
desktop e-mail I had four or five accounts dumping e-mail in various
subfolders.)

That's what IMAP was designed for, and you don't even need to use
Activesync to do it! ;-)
